Storymoja Publishers is an ethical, small but fast-growing profit-making social enterprise that primarily publishes books for children. Storymoja is probably best known for its annual international festival and the Start-a-Library initiative. To further stimulate the exponential growth of Storymoja, we are currently seeking to recruit talented, progressive and team-oriented individual to fill the following positions;

Purpose of the Position:

Provide first-class service to all clients and potential clients in order to grow the sales of Storymoja publisher's products in the designated market region.

Summary of responsibilities:

  • Identify sales opportunities in order to sale and grow Storymoja’s market share in the designated region.
  • Market and promote Storymoja books and ensure they are included in ALL school booklists as directed by the schools. The schools include ECDs, Primary and Secondary Schools.
  • Actively market and sell Storymoja products i.e. Know more CBC books, Score more revision books, all Storybooks and other Storymoja products in both public and private primary schools and ECD centres.
  • Strategically distribute and pin-up promotional materials e.g. posters.
  • Make at least 3 schools visits per day and 2 bookshops visit per day to generate orders only and forward them to Finance for invoicing (Supervisors must be copied on emails to Finance).
  • Make at least two visits per month to educational offices in your area to gather intelligence on schools meetings, education and competitions. This is to be documented in your reports.
  • Address customer needs in a timely manner and ensure effective customer service.
  • Monitor competitor activities collect market intelligence and feedback on Storymoja products and report the same to your supervisor through the comment section of the reporting template.
  • Prepare weekly reports of your area and submit to the Supervisor/Manager within the set timelines.
  • Take active part in debt collection and whistle blowing on piracy cases in the designated regions.
  • Perform any other duties and responsibilities which may be assigned to you by your supervisor and/or management and are related to the achievement of Storymoja’s mission and vision

Background, competencies and attributes of the Sales Reps (The knowledge, skills and abilities may be required through a combination of formal schooling, self-education and prior experience or on-the-job training).

  • Ability to sell books.
  • High achiever with proven track record of achieving set targets.
  • Outstanding verbal and written communication skills and ability to build relationships with people at all levels.
  • Must be smart and presentable.
  • Relevant certification.

ADMINISTRATIVE AND LOGISTICS OFFICER (1 POSITION)

Purpose of the position:

The incumbent will be based in Storymoja’s offices in Nairobi and will be in charge of planning and executing all necessary logistics, supply chain and administrative functions across the organization.

Summary of responsibilities:

  • Be proactive in process improvements in the supply chain, general Administration and logistics.
  • Review administrative, logistics and procurement requisitions for completeness and accuracy, and follow up on discrepancies and specifications with the initiating department before acting on them.
  • Prepare monthly, quarterly and annual Administrative and Logistical plans and progress reports or other related documentation as may be required by various project teams and generally by the organization.
  • Prepare Administrative and Logistical status reports to reconcile with the Administrative and Logistical plan and report on any deviation.
  • Lead the formulation and implementation of Administrative and Logistical strategies that will aid in cost reduction of organizations operations.
  • Coordinate all logistics and supply chain activities of departments and project teams in the form of preparation of pre-qualification/tender documents.
  • Take lead of the procurement operations in the organization from understanding procurement requests, sourcing for quotes, engaging procurement committee and ensuring that the desired products are delivered as per specifications and budgets.
  • Conduct elaborate supplier selection and evaluation to ensure transparent and competitive bidding through the procurement committee.

Support departments and generally the organization to acquire high quality products and/or services efficiently and effectively within timelines.

  • Take part in periodic inventory spot checks together with warehouse staff and keep updated records to avoid procuring what already exists.
  • Establish stock levels of the requested items in the warehouse before commencing the procurement process.
  • Guide/advice the procurement committee on frameworks of disposals and upon approval coordinate and implement disposal plans.
  • Schedule deliveries/disposals/donations in Liaison with the requesting department, warehouse and security operations.
  • Ensure compliance with public procurement act and other locally and internationally accepted procurement and other relevant policies and procedures.
  • Take charge of all relevant documentations and records which should be accessed by Finance, requesting department, procurement committee members and management for accountability and audit purposes.
  • Ensure all documentations are availed to the procurement committee for an annual supplier verification process or for any other valid business reasons.
  • Prepare or ensure that contractors/suppliers contracts are prepared whenever necessary and are signed off in good time.
  • Keep and update supplier database containing key supplier information.
  • Manage vendor contracts and maintain relationships with suppliers to ensure completeness of deliverables outlined in the contracts.
  • Follow up the activities and tasks undertaken by contractors as indicated in the signed service/procurement contracts.
  • Ensure that all vendor complaints and concerns are addressed promptly to ensure that all functions and/or projects continue to receive uninterrupted services at all times.
  • Undertake research and keep abreast with new developments in the industry in order to recommend adoption of new and innovative approaches aimed at reducing operational costs.
  • Oversee and ensure proper maintenance and functioning of office equipment, furniture and general compound and office maintenance.
  • Take part in customer service operations within the organization.
  • Support general function of data analysis i.e. Carry out assigned research and interpret data and generate useful and strategic reports for competitive edge decision making and business insight.
  • Promptly advice on any breaches in the procurement, logistical, supply chain or administrative processes or suspected fraud.
  • Perform any other duties and responsibilities which may be assigned by the Supervisor and management from time to time and which are related to the achievement of Storymoja’s mission and vision.

Background, competencies and attributes of the Administrative and Logistics Officer (The knowledge, skills and abilities may be required through a combination of formal schooling, self-education and prior experience or on-the-job-training).

  • Proficiency in computer applications such as Microsoft Word, Excel, Access, PowerPoint and Outlook express including financial and statistical packages.
